DCR Mate is field-reporting software (website, Android app and tablet app at dcrmate.com) used by companies to manage their medical representatives and other field staff. This policy explains what data the software handles and why.
1. Who is responsible
Each company that uses DCR Mate (the "client") decides what data of its employees, doctors, chemists and customers is entered, and is responsible for it under the Digital Personal Data Protection Act, 2023 and other Indian law. DCR Mate stores and processes that data only to run the service for the client. Questions about your own data at work should first go to your employer; you can also reach us through the contact details on our website.
2. Data we handle
- Account data: name, mobile number, e-mail, designation, reporting manager, login and device details.
- Work reports: daily and monthly plans, calls (DCR), expenses, leave, orders, samples and other entries made in the app.
- Location: GPS location only between the employee's Day Start and Day End, and at the time of a call or report, so the employer can see the work route and verify visits. The Android app shows a notification while location is being collected.
- Photos and files: selfies, call photos, bills, voice notes and documents that the user chooses to upload.
- Face check (if the client turns it on): a numeric face pattern is made on the phone itself and compared on our server to confirm that the right person is reporting. The client can reset or turn this off.
- HR and payroll (if used): salary, attendance, bank, PAN, Aadhaar, UAN and joining documents entered by the client or the new joiner.
- Website visitors: the details typed in the "Book a free demo" form (name, mobile, company, team size).
3. How data is used
Only to provide the service to the client: reports, approvals, reminders, payroll, bills, support and keeping the service secure. We do not sell personal data and we do not use it for advertising. Demo-form details are used only to contact you about DCR Mate.
4. Sharing
Data is visible to the client company's own users according to their role and reporting line. It is sent to other services only when the client turns that on — for example WhatsApp Business or Telegram messages, e-mail from the client's own mailbox, or an ERP / accounting integration. Free map and address lookup services may receive coordinates (not names). We may disclose data when Indian law requires it.
5. Storage and security
Data is kept on our servers with encrypted (HTTPS) connections, hashed passwords, role-based access and daily backups. Data entered offline stays on the phone until it is sent to the server.
6. How long data is kept
As long as the client uses DCR Mate, and afterwards only as long as the client asks or the law (for example tax, PF and payroll records) requires. When a client leaves, its data can be exported and is then deleted from active systems; backups expire on their own.
7. Your rights
You can ask to see, correct or delete your personal data, or withdraw consent where consent is the basis. Because the data belongs to your employer's account, most requests are handled together with your employer. Contact us through the contact details on our website.
8. Children
DCR Mate is a business tool and is not meant for anyone under 18.
9. Changes
We may update this policy; the date at the top shows the latest version.
